REQUEST FOR CITY COUNCIL AGENDA ITEM
Budget
Agenda Date Requested: 10-26-15
Source of Funds: Fund 015
Requested By: Traci Leach
Account Number:
Department: Administration
Amount Budgeted: $20,000
Report: Resolution: Ordinance:
Amount Requested: $ 2,474.82
Exhibits: Agreement with Bayside Terrace Civic Club
Budgeted Item: YES NO
Exhibits:
Exhibits
SUMMARY & RECOMMENDATION
As part of the FY 2015 budget, the Council approved funding for Community Co-op projects, where the City would
partner with HOAs and other neighborhood groups to complete small beautification and quality of life projects. A total
of $20,000 was budgeted with a maximum City contribution per project of $5,000. All projects would be considered on
a first come, first served basis. At this time, Bayside Terrace Civic Club is the first group to submit a project for
consideration.
The current request is the second phase of project that the Council awarded in the previous fiscal year. The previous
Agreement for Phase I, as amended, included the construction of the concrete footer and the stone monument.
A quote has been obtained for lettering for the neighborhood entryway sign and some accessories for the sign (solar
lights, decorative arm that holds notices for the neighborhood such as heavy trash, etc). The total project cost is
estimated to be $3,874.82. The HOA will contribute $1,400 towards the cost of the project and the City’s share would
be an amount not to exceed $2,474.82. The HOA would handle all logistics, scheduling, and oversight of installation
of the new sign lettering and accessories.
As this would not be an addition to a City-owned and maintained facility, the on-going maintenance responsibility would
lie with the Bayside terrace Civic Club.
Action Required by Council:
Consider approval or other action authorizing the City Manager to execute an Agreement with Bayside Terrace Civic
Club for a Community Cooperation project (new lettering and accessories for neighborhood entryway sign).
Approved for City Council Agenda
Corby Alexander, City Manager Date
