Ray - Purchasing Agent r SUBJECT: Sealed Bid #0107 - InstalfaCion of Carpet and Vinyl at Police Station r Advertised, sealed bids 40107 for the removal and installation of carpet and vinyl flooring at the La Porte Police Station were opened and read in City Council Chambers July 8, 1985 at 4 p.m. Sealed bid invitations were mailed to the following four area carpet companies; (1) Loy's Carpet Center, (2) Sherwin Williams, (3) La Porte Carpet, and (4) The Interior Agent. Quotations were received from Loy's Carpet Center and Sherwin Williams. Bidders were asked to submit pricing on the installation of approx- imately 265 yards of vinyl flooring and 565 yards of carpeting after re- moval of the worn flooring presently in use. The successful contractor will be responsible for proper surface preparation and warrant the in- stallation for one full year. Low bid meeting specifications was submitted by Sherwin Williams, Inc. in the amount of $9,109.56 and a completion time of thirty days after award. A total of seventeen-thousand, seven hundred and ten dollars ($17,710) is currently appropriated in the 1984-85 Capital Improvement Budget to complete this project. During the 1985-86 Budget sessions, staff became aware of the Police Department's chronic need for additional space in their facility. On site inspection indicates the possibility that the current floor plan could be remodeled to yield more functional office space without physical addition to the building. If this plan was pursued, it would be in the best interest of the City of La Porte to delay any floor covering work until a comprehensive remodeling plan can be established. Funds currently allocated for this pro- ject would be sufficient to pay for engineering services necessary to design a functional lay out for the Police Department. If City Council is supportive of this approach I recommend rejecting all bids for the installation of flooring in the Police Station. Should Council not place this project as a priority, then I recommend the City of La Porte accept the low bid meeting specifications from Sherwin Williams, Inc. in the amount of $9,109.56 to complete this project.
