Bid requests were mailed to sixteen (16) vendors with nine (9) returning bids. Low bid meeting specifications for Item 1 - 1 ton truck w/utility body was submitted by Bill Heard Chevrolet in the amount of $21,135. Low bid meeting specifications for Item 2 - 3/4 ton truck was submitted by Philpot Ford in the amount of $16,321. Low bid meeting specifications for Item 3 - Minivan was submitted by A.C. Collins Ford in the amount of $16,725. Low bid meeting specifications for Item 4 - 2 each Patrol Units was submitted by McRee Ford in the amount of $19,323.50 each for a total of $38,647. Low bid meeting specifications for Item 5 - 2 each Police Pkg Sedans was submitted by McRee Ford in the amount of $18,822.50 each for a total of $37,645. Low bid meeting specifications for Item 6 - 3 each Sport Utility Vehicles was submitted by Philpot Ford in the amount of $19,598 each for a total of $58,794. All units over budget. Recommend rejection of bid and re-bid. Prices available through H-GAC exceed low bid on all items. Adequate funds for the purchase of Items 1,2,3 and 4 are budgeted in the 96/97 Motor Pool Replacement Fund. Adequate funds for the purchase of Item 5 is budgeted in the Police Administration and the Police Patrol Divisions Operating Budgets for 96/97. Action Required by Council: Authorize purchase of Items 1 through 5 to low bidder meeting specifications. Reject bids on item 6 and rebid.
