DuPont, President <br />Anita DuPont & Associates <br />Management Consultants <br />6304 Alder Street, Suite 3 <br />Houston; Texas 77081 <br />Re: File Reorganization - Centralized Filing System <br />City of La Porte <br />Dear Mrs. DuPont: <br />In response to your letter concerning the file reorganization <br />within our Municipality, the following answers indicate what topics <br />should be addressed in contemplating this rennovation. <br />1. Question: Do you want a decentralized or controlled filing <br />system? <br />Response: A centralized filing system would be most adequate <br />for the City's needs. The system will be security controlled <br />with, hopefully, a file clerk on duty to act as a records <br />management specialist. <br />2. Question: In either a decentralized or controlled system, it <br />is necessary to know how all the departments currently <br />interface. <br />Response: Your firm will be given time to interview each <br />department head as to their filing needs. Laura Hall and <br />Cherie Black will be available to assist you in interfacing <br />their needs to accommodate a central filing system. <br />3. Question: Will we have access to all department files in <br />order to create a standardized system? <br />Response: DuPont and Associates will have access to all <br />department files with the exceptions of possibly Public Works, <br />Fire Department and Police~Department. Those departments will <br />probably be interfaced at a later time. <br />
