Question: If you want a system that is controlled and secure, <br />will there be a central file room with a file clerk? <br />Response: There is currently a central file room and we <br />anticipate monies being available to add a file clerk to our <br />staff when the new system is completed. <br />5. Question: What capabilities do your various computer <br />applications currently offer? <br />Response: Our computer system currently offers a software <br />package for creating an automated filing system. All <br />departments are using this capability in creating and <br />maintaining their files. Files may be indexed by drawers, <br />folders, and documents within the folders. Our computer <br />coordinator will be happy to assist you in further researching <br />these capabilities. <br />6. Question: Is there a current index of all files that are to <br />be reorganized? <br />Response: There is no current system of indexing all files <br />that are to be reorganized. <br />7. Question: How many of these files are currently managed on <br />your computers? <br />Response: The only files managed on computer are "personal <br />files" developed by each department within the past 18 months. <br />The City does, however, have a comprehensive system within our <br />accounting, tax, and utility billing departments. Perhaps <br />your firm can acquire some ideas about the centralized filing <br />system through these departments. <br />8. Question: Are there samples of existing filing systems? (It <br />is possible that an existing method could be adjusted and <br />expanded to solve your current file problems.) <br />Response: We would be happy for you to view the current "on <br />line" computerized filing systems in each department such as <br />they are. Perhaps ideas could derived from viewing these <br />systems. <br />
