• <br />MEMORANDUM <br />January 9, 1991 <br />TO: Bob Herrera, City Manager <br />FROM: Cherie Black, City Secretary <br />SUBJECT: U.S. Mail Problems <br />RECE[VED1~~ <br />~~ ~ Q ~~#~ <br />Car ~' P~p1NA~~RS <br />4FFECE <br />As you are aware, the City has been having problems since the end <br />of November 1990, with outgoing City mail. There have been three <br />times that we know of that outgoing mail has never been received. <br />The approximate mailing dates were November 30, 1990, and December <br />14 or 15 and December 21, 1990. <br />After talking with the Postmaster, who is very. insistent that the <br />problem could not possibly be the fault of the post office, I <br />initiated the following procedure as of January 4, 1991: After <br />processing the outgoing mail in the afternoon, it is hand-carried <br />to the post office and physically given to a postal clerk. The <br />clerk then date-stamps and initials a sheet of paper that states <br />that the City of La Porte's outgoing mail was received at the post <br />office on that date. In doing this, I am ensuring that the mail <br />is at least being acknowledged as arriving at the post office. <br />I also intend, beginning next week, to take the name and address <br />from the envelope of a company or person to whom we are mailing <br />correspondence. I will wait a couple of days, telephone them to <br />see whether they have gotten our mail, and if they have not, ask <br />them to call me when they do receive it. <br />This seems to be a time-consuming task, but I feel it is necessary <br />if we are to solve the mystery of where our mail is going. <br />If you have any questions or wish an update in the near future, let <br />me know. <br />~~ <br />~'~ ~}. <br />u.-Z <br />Cherie Black <br />
